Smart Data Capture is a HubSpot AI feature that listens to call, meeting, and email activity and suggests updates to CRM properties, including deal stage, based on what was actually said. Rather than a rep manually moving a deal forward after a call, HubSpot identifies the commitment in the conversation and updates the record directly.

I had a discovery call with a client at 10:30am. Toward the end, I asked a specific next-steps question: would it make sense to put a proposal together, or would a quotation be more useful so the client could review it and we circle back from there. The client agreed to move forward.

How to set up Smart Data Capture in HubSpot

To turn on Smart Data Capture, go to Settings > Data Management > Data Capture, enable it, and choose which deal properties it's allowed to update.

  1. Go to Settings > Data Management > Data Capture. This is a Beta feature, so availability depends on your subscription tier and portal settings.
  2. Toggle on "Use smart data capture." HubSpot's own description states it plainly: it uses call and meeting transcripts to identify and suggest updates to CRM properties.
  3. Choose what it should capture. Under Properties to Capture, select which deal properties to include. In our setup, that's Deal Description, Deal Stage, and Next Step. Start narrow, since a messy property setup gives the AI more places to guess wrong.
  4. Configure Call, Meeting, and Email settings separately. Each has its own tab, since HubSpot treats the signal source differently depending on where it came from.
  5. Use Breeze Assistant to think through your setup, especially when deciding which properties matter most before rolling it out across your full pipeline.
