What is HubSpot Smart Data Capture?
Smart Data Capture is a HubSpot AI feature that listens to call, meeting, and email activity and suggests updates to CRM properties, including deal stage, based on what was actually said. Rather than a rep manually moving a deal forward after a call, HubSpot identifies the commitment in the conversation and updates the record directly.

I had a discovery call with a client at 10:30am. Toward the end, I asked a specific next-steps question: would it make sense to put a proposal together, or would a quotation be more useful so the client could review it and we circle back from there. The client agreed to move forward.
By 11:01am, HubSpot had already moved that deal in the pipeline, tagged clearly in the activity timeline as triggered by Smart Data Capture, so it's obvious what caused the change. It also surfaced a "review next steps" prompt and flagged the moment for a follow-up email.
Deal progression usually breaks down in the gap between a call and the CRM update, not in the sales conversation itself.

To turn on Smart Data Capture, go to Settings > Data Management > Data Capture, enable it, and choose which deal properties it's allowed to update.
Note:Smart Data Capture runs on Breeze credits: It's worth testing on a subset of deals before switching it on for your whole pipeline.
A lot of the time, deals get stuck not because reps aren't doing the work, but because managers don't have visibility into what actually happened on a call, and a lot of that visibility is subjective, dependent on whether someone logged it, and logged it accurately. For Caribbean SMB sales teams especially, where headcount is often lean and reps are covering more ground per person, closing that visibility gap without adding admin work is a real, practical win, not just a nice-to-have automation. Letting the system pick up the signal directly from the conversation doesn't replace judgement. It gives that judgement a more accurate starting point.

Does Smart Data Capture replace manual deal updates entirely?
No. It suggests and applies updates based on conversation signals, but only within the properties you configure, so you set the boundaries of what it can touch.
Is Smart Data Capture available on all HubSpot tiers?
It's currently a Beta feature under Data Management, so availability depends on your subscription and portal settings. Check Settings > Data Management > Data Capture to confirm access.
